Enterprises are increasingly adopting the cloud as the go-to storage platform for all documents and records, and for good reason. The cloud storage offers increased security, cost-effectiveness and ease of use.
According to Frank Gillett, Forrester vice president and The Wall Street Journal contributor, a survey conducted by Forrester Research found that 77 percent of adults who are online used at least one cloud service in 2013.
"Personal cloud services are an important advance. To ignore them is to remain stuck in the PC era as the rest of the world moves on," Gillett declared.
Using the cloud is a better way to protect data than storing it on a PC – or in the case of a fax, a file cabinet. Cloud servers are managed by an outside provider solely responsible for maintaining the system, meaning it is much less susceptible to virus or data breach.
The cloud services also allow instant data backup, as it's being kept in an outside data center that isn't susceptible to the vulnerabilities of an enterprise's infrastructure. Cloud providers are better at keeping up-to-date with system upgrades and security improvements because that is their core competency.
As well as being secure, storing information on the cloud has huge cost benefits as well. Because servers don't need to be maintained on site, energy costs are dramatically reduced, saving money and decreasing a company's environmental impact.
Utilizing the best of the cloud
Aside from the security benefits and cost effectiveness of the cloud storage services, a major benefit is all of the added services that come along with it.
Fax over IP services employ the best parts of the cloud to improve communications and other essential business functions. Faxes can be sent over the Internet and their content stored on a secure cloud server. Sent messages are archived and encrypted in a data center, allowing an organization to go back and find any important information they may need.
FoIP services can also add to the cost benefits the cloud already provides. A dedicated fax line is no longer necessary, eliminating expensive payments to the phone company. Fax over IP provider FaxCore can also make it possible to enable an existing fax machine to be FoIP-capable, saving money on new, expensive equipment.
