Cloud technology has proven to be revolutionary for businesses all over the world. There are a great deal of things that can be done with the cloud, and many common enterprise practices are being redefined when leveraged alongside it. According to NetworkComputing contributor Jason Anderson, no one knows this like early adopters.
"From enterprise collaboration and sales automation apps, to supply chain and inventory management apps, early adopters are leveraging the inherent, dynamic agility of the cloud to transform a range of distributed processes," Anderson wrote. "They're focusing on revenue-generating applications that would be difficult or impossible to achieve in a legacy environment."
One such means of accomplishing this is to implement cloud-based faxing. Cloud has a habit of taking things and making them mobile, and there are few enterprise operations that are in as great a need for mobility as the the fax machine is. This is thanks mainly to the prevalence of fax across various industries that value its security. But just because hardware has been used to facilitate something in the past doesn't mean that software can't accomplish the same task today. This is where cloud-based fax comes into play.
Going smartphone-first
It should come as no surprise that mobile devices are increasing in popularity – and usage.
"Smartphones, tablets and other devices allow users to engage in digital interactions at any time they choose," stated CDW for Forbes. "And they're taking full advantage of that fact. Nearly 80 percent of those ages 18 to 44 years old reach for their smartphones within 15 minutes of waking up. And mobility is rapidly becoming a fact of life for the enterprise as well."
This means that channels existing outside of a touchscreen environment have less chance of being used, even if they are required by law. Employees want convenience – not because they're lazy, but because they're busy. Having to deal with a fax machine in today's office is considered a waste of time when it's possible to complete the same task from one's computer. But email has been linked time and again to serious data breaches. In addition to possessing weak encryptions, it is also subject to human error in ways that faxing is not. This doesn't mean, however, that all forms of digital document sharing are inherently inappropriate for business.
Embracing mobility
Organizations need to get serious about the cloud. It is helping to make organizations more agile in their daily operations. Having to go through the motions of sending or receiving a fax – printing, scanning, etc. – can actually waste time where it once preserved it. But sending these transmissions in a software-defined cloud setting can help to streamline the process without sacrificing on security. In order to keep files protected while enabling modern functionality, consider cloud-based faxing.
