There are plenty of good reasons to go paperless in the workplace. Some organizations choose to do it because they are trying to preserve natural resources. Others elect to do so because it's a great way to save money and cut costs. But according to Law Technology News contributor and law firm CIO Suzette Allaire, one of the biggest perks is in regard to how much productivity can increase as a result of going paperless.

"Initially, the expected benefit was cost savings for managing paper," Allaire wrote. "But going paperless improves our ability to be respond quickly to clients, providing more efficient service. A true win-win."

In the quest to cut down on paper consumption, there are few tools that are as essential as the cloud. Cloud technology allows documents to be shared much more easily than on paper – one of the most powerful examples of this being cloud-based faxing. Having cloud-based fax systems integrated into daily operations permits for a great number of tasks to be significantly streamlined.

Simplicity begets productivity
Telecommunications have historically had their barriers. Things like installations, repairs and system updates have proven to be cumbersome and difficult to handle. This is what makes the cloud such an appealing solution. Because it's located offsite and is effortlessly scalable, TMCnet contributor Mae Kowalke believes cloud assets foster progress for expanding enterprises.

"[T]he cloud enables scalability," Kowalke wrote. "With on-premise solutions, there's the need to buy new equipment and software when a business grows. This can be inefficient, as there's the need to buy enough infrastructure to support more than just the current growth in most cases. It also can be an inconvenient capital expense."

If there is one thing that's sitting at the bottom of the upgrade list, it may be the fax machine. But this is because few organizations want to invest in a new on-site system. Moving fax services to the cloud enables the channel to be used in modern ways that can help businesses stay ahead of their competition.

Faxing still essential in 2015
There are countless industries that still rely on the security of fax machines. Some professionals believe that they can get by on email alone, but that could not be further from the case. But faxing has always been known as a paper-based communication system, and becoming a paperless office is a top priority for a great deal of businesses.

The cloud is a powerful asset that can help to give a new edge to legacy platforms. It should be used in as many facets as possible by those companies that are looking to go totally paperless. In order to unlock present-day, paperless convenience without sacrificing on encryption, make the move to cloud-based faxing.
